At least one author for each accepted paper must register as 'Regular', and attend and present the paper at the conference. Otherwise, the paper will be excluded from the proceedings and the conference program.

Students Travel Award

This year, we have subsidised student registration fees to keep them at very reasonable rates. In addition, we are offering Travel Awards to support a limited number of students attending IJCLR 2025. Successful applicants will receive reimbursement of travel costs of up to £500. All students attending IJCLR 2025 are eligible to apply, however, priority will be given to non-local students (e.g., from outside the UK) who have an accepted paper. More information on how to apply will be posted here shortly.

Conference cancellation Policy:

All cancellations must be confirmed in writing by sending an email to d.cyrus@surrey.ac.uk. This cancellation policy applies to the registration fee and will be subject to the following cancellation charges:

• Cancellations made up to 20 Aug 2025, are subject to 50% cancellation charges.
• No refunds will be given for any cancellations made on or after the 21 Aug 2025.
• Substitutions of delegates will be permitted, and all name changes must be emailed to d.cyrus@surrey.ac.uk

In the event of unforeseen circumstances we reserve the right to change the venue, dates and programme.
